Introduction

Life Check Systems (“LCS,” “we,” “our,” or “us”) provides safety and monitoring software to correctional facilities, schools, and other institutions. This Privacy Policy describes how we collect, use, and protect personal information when you visit lifechecksystems.com (the “Site”), communicate with us, opt in to our SMS or voice programs, or use an account on our platform or mobile applications.

1. Client Data and Monitored Individuals

This Policy does not govern the institutional records our clients create, submit, or generate in our platform (“Client Data”), including records about individuals in a client’s care, custody, or supervision. Client Data is owned by the client. LCS processes it solely on the client’s behalf and at the client’s direction, as a service provider under a written agreement and our Data Processing Addendum. We do not use Client Data for our own purposes, do not sell it, and do not share it for marketing or advertising.

If you have questions about records an institution keeps about you, contact that institution directly. If we receive such a request, we will refer it to the relevant client.

2. Information We Collect

  • Information you provide. Name, email address, phone number, job title, employer, and the contents of your message when you contact us, request a demo, or otherwise communicate with us; and name, email address, job title, and login credentials when an account is created for you on our platform.
  • Information collected automatically. When you use the Site or our applications, we collect log and device information such as IP address, browser or device type, operating system, pages viewed, and usage patterns, using cookies and similar technologies (Section 4). We use Google Analytics to understand general usage and Sentry to monitor errors and application performance.
  • Location data (application users). With your device permissions, our applications collect user location to support geofenced features, such as location-specific notifications. We retain only the most recent location update; we do not store historical location data.
  • SMS and voice program data. If you opt in, your phone number and the message and call records needed to deliver the service (Section 8).

3. Cookies and Analytics

The Site uses essential cookies, which are required for the Site to function, and analytics cookies, which help us understand how the Site is used. We do not use advertising cookies, and we do not permit third parties to collect information on the Site for their own advertising purposes. You can control cookies through your browser settings and can opt out of Google Analytics using Google’s browser opt-out tools.

The Site does not respond to “Do Not Track” browser signals. Because we do not sell personal information or share it for cross-context behavioral advertising, there is no sale or sharing to opt out of.

4. How We Use Information

  • Provide, operate, and support our services, including alerting, monitoring, reporting, and geolocation-based notifications;
  • Respond to inquiries and provide customer support and account management;
  • Maintain, secure, and improve the Site and our applications, including error monitoring and usage analysis via Sentry and Google Analytics;
  • Send service, safety, and account communications, and marketing communications about our services, from which you may opt out at any time;
  • Comply with legal obligations and enforce our agreements.

We do not sell or rent personal information, and we do not share personal information for cross-context behavioral advertising or targeted advertising, as those terms are defined under applicable state privacy laws.

5. How We Share Information

  • Service providers. Vendors that support our business, such as cloud hosting, error and performance monitoring, analytics, email and SMS delivery, and customer support platforms, bound by confidentiality obligations and permitted to use information only to provide services to us.
  • Legal compliance. If required by law, subpoena, or valid court order. Disclosures of Client Data are further governed by our Data Processing Addendum, including our commitment to notify the client before disclosure where legally permitted.
  • Business transfers. In connection with a merger, acquisition, financing, or sale of assets, personal information may be transferred to a successor, which will remain bound by this Policy. We will provide notice of any resulting material change.
  • At your direction. With your consent or at your request.

We do not share information for marketing or advertising purposes.

6. Data Security

We apply industry-standard administrative, technical, and physical safeguards, including encryption of data in transit and at rest, role-based access controls, and secure transmission practices. No method of transmission or storage is completely secure; please report any suspected security issue to info@lifechecksystems.com.

7. SMS and Voice Communications

If you opt in to receive SMS messages or voice calls from LCS, we collect your phone number to deliver safety alerts, authentication codes, and account notifications. By opting in to voice calls, you consent to receive autodialed or prerecorded calls at the number you provide for safety alert purposes.

No mobile information will be sold, and phone numbers and opt-in data collected through our SMS and voice programs will not be shared with third parties or affiliates for marketing or promotional purposes. This information is used only to provide the services you have requested.

Message and call frequency varies based on your configured alert settings. Message and data rates may apply for SMS; standard call rates may apply for voice. Reply STOP to opt out of SMS at any time, or reply HELP for help. You can opt out of voice calls through your user profile or by contacting support. 8. Data Retention

We retain the personal information described in this Policy for as long as needed for the purposes described above and to meet our legal, contractual, and security obligations. Retention and deletion of Client Data are governed by the client’s agreement with us and our Data Processing Addendum.

9. Your Privacy Rights

Depending on your state of residence (including California, Colorado, Connecticut, Texas, and Virginia), you may have the right to know or access the personal information we hold about you, correct it, delete it, obtain a portable copy, opt out of the sale or sharing of personal information or targeted advertising (practices we do not engage in), and not be discriminated against for exercising these rights.

To exercise these rights, email info@lifechecksystems.com. We will verify your identity before acting on a request, and an authorized agent may submit a request on your behalf where the law allows. If we decline a request, you may appeal by replying to our response with the word “Appeal.”

Requests concerning records held by one of our client institutions should be directed to that institution; as a service provider, we will refer such requests to the relevant client.

10. Children’s Privacy

The Site is not directed to children, and we do not knowingly collect personal information from children through the Site. Student information handled for school clients is processed only as a service provider under our agreements and applicable law, including FERPA, as described in Section 2. If you believe a child has provided personal information through the Site, contact us and we will delete it.

11. International Users

Our services are operated in the United States. If you access the Site or our services from outside the U.S., your information will be transferred to and processed in the U.S.

12. Changes to This Policy

We may update this Policy from time to time. We will post the updated Policy with a new effective date and will notify clients and users of material changes by email or through our platform.
