Introduction

Life Check Systems (“we,” “our,” or “us”) provides software solutions to institutions such as correctional facilities, schools, and other organizations. We are committed to protecting the privacy and security of information entrusted to us by our clients.

1. Information We Collect

We collect the following types of information from and about our clients and users:

  • User Information: Name, email address, job title, and login credentials.
  • Institutional Data: List of officers and users, all records of rounds, special watches, security inspections, resident track policies, body camera footage, user submitted media, general reports, and usage configurations.
  • System-Generated Data: Audit logs, alert history, door position status, and system usage patterns.
  • Location Data: We collect user location data to support geofenced features, such as sending location-specific notifications. We do not store historical location data—only the most recent location update is retained.
  • Application Performance and Diagnostic Data: We utilize Sentry to monitor errors and system performance and Google Analytics to understand general usage patterns within our mobile applications.

Note: We do not collect personal information from the individuals monitored by our clients unless explicitly configured by the institution and permitted by applicable law. The only information about monitored individuals that Life Check Systems stores is information supplied by the client.

2. How We Use Information

We use collected data to:

  • Deliver our services, including alerting, monitoring, reporting, and geolocation-based notifications;
  • Provide customer support and account management;
  • Improve and maintain system performance, reliability, and security;
  • Monitor application errors and usage patterns for quality and stability (via Sentry and Google Analytics);
  • Comply with legal obligations and client agreements.

We do not sell or rent personal information to third parties.

3. Data Sharing and Disclosure

We may share limited information with:

  • Service Providers: Such as cloud hosting, error tracking, email delivery, or customer support platforms, under strict confidentiality agreements;
  • Legal Authorities: If required by law, subpoena, or valid court order.

We do not share data for marketing or advertising purposes.

4. Data Security and Retention

We apply industry-standard security practices, including encryption, access controls, and secure transmission. Data is retained for twice the length of the client’s contract term and will be deleted on a rolling basis.

For example, with a 3-year contract term, data created on June 1, 2020, will exist for 6 years and be deleted on May 31, 2026.

CLIENTS MAY NOT REQUEST THAT ANY DATA BE DELETED AHEAD OF SCHEDULE.

5. Your Rights

Clients have the right to:

  • Access or correct information we hold;
  • Opt out of certain types of communication.

6. International Users

Our services are operated in the United States. If you are accessing from outside the U.S., you consent to data transfer and processing in the U.S.

7. Policy Updates

We may update this policy from time to time. We will notify clients of material changes via email or through our platform.
